Privacy notice

This notice explains what information Ascent Media uses, why, who receives it, how long it is kept, and the choices you have.

The retention schedule was adopted on 15 October 2026. That is its effective date. This is a publicly accessible review draft. The final wording is not approved, and this page is not indexed.

Who we are

Ascent Media is a trading name of PRIME CAPITAL HOME IMPROVEMENTS UK LIMITED, company number 17277981. The registered office is 66 Paul Street, London, England, EC2A 4NA. That address is the registered office, not a staffed customer office. The official record is at https://find-and-update.company-information.service.gov.uk/company/17277981.

Privacy requests go to help@ascent-media.io. There is no separate privacy address.

This notice covers this website, the enquiry forms, the acknowledgement we send, and an account you create here. It does not describe information a client asks us to handle inside that client’s own systems.

What we use, and why

If you send the contact form or the visibility form, we use what you need, your name, business name, email, phone, town or area, message, and how you heard of Ascent. We use that information to read your request and reply. We also send one short acknowledgement to the email address you gave, so you can reply to help@ascent-media.io. The acknowledgement does not include your message, and it is not a newsletter.

Sending an enquiry does not subscribe you to marketing. It does not mean you have asked for offers, news or promotions. We do not add you to a marketing list because you wrote to us.

Who the contract is with depends on who is asking. If you write for a limited company, you are a contact for that company. The contract would be with the company, not with you personally, unless the written order says otherwise. If you are a sole trader, you may be the person who enters the contract. We do not treat every business enquiry as coming from a representative only.

If you create an account, we use the username, name, email and password you give us so you can sign in, reset the password and use that account. An account is not an order for a service.

We also use a small amount of technical information to keep the forms usable. That includes a check which lets us ignore an automated submission, a short-lived limit on repeat acknowledgement emails, and a short note of whether a message was handed to our email provider. Those notes do not contain your message. A coded reference to an email address or a network address can still be linked to a person. We treat it as personal information.

The optional note of how you heard of Ascent is used only to understand that enquiry.

The legal reason

If you are a sole trader, or you yourself will be the customer, we use your enquiry to take the steps you asked for before a contract with you. The acknowledgement is part of that same request.

If you write for a limited company, we use your contact details because it is in our legitimate interests to reply to that company and to keep a record of the request. We need those details to reply. You chose to contact us, the details are ordinary business contact information, and we do not use them for marketing. You can object, as explained below. This is not a contract with you personally.

We provide an account because that is necessary for the account you asked us to create.

We rely on legitimate interests to protect the website and the mailbox: to ignore automated submissions, to limit repeat acknowledgement emails, and to see whether a message was handed to our email provider. Those records are limited, they are not your enquiry, and they are not used to advertise to you.

We do not rely on consent for an enquiry or an account. There is therefore no consent to withdraw for those uses.

Who receives it

Your enquiry is emailed to help@ascent-media.io and is read by Ascent. It is not stored as a row in the website database. The copy we keep is the email. Account details are stored in the website database.

Hostinger provides the website hosting and the email service. Its published data processing addendum, last revised on 29 September 2026, says Hostinger acts as a processor of customer information for hosting and for email. The addendum is part of Hostinger’s terms. The Hostinger company named on this account’s invoice or agreement has not been confirmed from the records available to this website.

The labelled location of the website server, the labelled location of backups, and the arrangements for processing email have not been confirmed. We do not state a country for any of them. The website and the email service are separate, so a location for one would not establish the other.

We have not confirmed whether your information is processed outside the United Kingdom. The addendum includes the UK International Data Transfer Addendum for some transfers from the UK to a country the UK does not treat as adequate. A statement in that addendum that a transfer is necessary to provide the service is not, by itself, a justification for an international transfer of this account’s information. Until the locations are known, we do not say that a transfer takes place, and we do not say that one is justified.

Hostinger’s addendum contains a global list of subprocessors. That list does not show which providers process information for this website or this mailbox. We do not treat every name on that list as a recipient of your information.

The website forms do not send your enquiry to a separate CRM. That statement is only about this website. It does not say whether the business uses a CRM for anything else.

Your own email provider receives the acknowledgement because that is how email is delivered to you.

How long we keep it

This schedule was adopted on 15 October 2026. That is its effective date. Eddie is responsible for it. He reviews the mailbox and the website accounts by hand once a quarter.

The review does not authorise deleting records in bulk, and deletion is not automatic. A record that is needed for an active dispute, or for a legal obligation, is kept. The reason is written down.

An unsuccessful enquiry is kept for 12 months after the last message.

Ordinary customer correspondence is kept for two years after the service or matter ends.

Necessary contract records are kept for six years after the contract ends.

Accounting records are kept for six years from the end of the last company financial year they relate to, and longer where the law requires it.

A website account is kept while it is open, and for 12 months after it is closed. A record that must be kept for a contract, for the accounts, for a dispute, or for another legal obligation is separated from the account and kept for that reason.

A limit on acknowledgement emails stops applying after one hour. The record is removed the next time an acknowledgement is considered after that hour. It is not deleted on a timer at the end of the hour.

We keep the latest 12 notes of whether a business message was handed to our email provider, and the latest 12 notes for acknowledgements. Those lists are not deleted because of their age.

How long Hostinger keeps backups, server logs or mailbox mail was not in the records available to this website. Those periods are not stated here.

Your rights

You can ask for a copy of the information we hold about you, ask us to correct it, ask us to delete it, and ask us to restrict how we use it.

Where we use account information because of a contract with you, you can ask for the information you gave us in a portable form. That right does not apply to uses that rely only on legitimate interests.

We do not make solely automated decisions that produce a legal effect, or a similarly significant effect, about you.

You do not have to give us information. If you do not, we cannot reply to an enquiry or create an account.

Your right to object. Where we rely on legitimate interests, you can object to that use. We will stop unless we can show a compelling reason to continue. If you object to marketing, we will stop. We do not use an enquiry as marketing.

How to use your rights, and how to complain

Email help@ascent-media.io. Say what you are asking for, and include the email address you used so we can find the right information. We may need to confirm that the request is yours.

You can also complain to the Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/. You can do that whether or not you have written to us first.

Ask us about your information

Write to help@ascent-media.io. The retention schedule is effective from 15 October 2026. Quarterly review does not delete records automatically, and it is not a bulk deletion.
